Reseller Guide
How to reach your customers' phone systems and look after their portal logins, all from one sign-in.
1Welcome
Your reseller account gives you one sign-in at portal.easyvoip.ca for every customer Voice2Net has assigned to you. Voice2Net can assign you a whole server (every customer on it, including new ones as they are added) or individual customers.
From that one sign-in you can:
- Open any assigned customer's portal as their administrator, without a separate password for each one.
- Add, reset and remove the portal logins of the people at those customers.
Inside a customer's portal everything works as described in the Administrator Guide. Open it from Help in the portal's menu. This guide only covers what is different for a reseller.
2Signing in
- Go to portal.easyvoip.ca.
- Enter your email address and password, then click Sign in.
- You arrive at Where to?, the list of your customers (see Picking a customer).
Your customers sign in at the same address with their own email and password. They go straight to their own portal.
Your first sign-in
When Voice2Net creates your account, you get an email with a temporary password. The first time you sign in with it, you are asked to choose your own:
- Type the temporary password from the email.
- Type your new password twice. It must be at least 12 characters and use at least 3 of: uppercase letters, lowercase letters, numbers, special characters.
- Click Update password.
That one password also opens every customer assigned to you. You never type a password per customer, and there is nothing else to set up.
Forgot your password
Click Forgot password? on the sign-in page and enter your email. If the account exists, a reset link is emailed to you. The link works once and expires after a short time.
3Picking a customer
After you sign in, Where to? lists every customer assigned to you, with the business name, its domain and the server it is on.
- Type part of the business name or domain in the filter box to narrow the list.
- Click the customer, or its Connect button.
- That customer's portal opens and you are signed in as their administrator.
| You see | What it means |
|---|---|
| Not set up yet — contact staff | Voice2Net has assigned the customer but hasn't finished setting up your access. You can't connect until support finishes it. |
| Whole server … (no domains synced yet) | You have been given a whole server that has no customers listed yet. They appear on their own within a few minutes. |
| No domains have been assigned to you yet | Nothing is assigned to your account. Contact support. |
Working in a customer's portal
You see exactly what the customer's own administrator sees: extensions, phones, voicemail, numbers, business hours and the rest. Anything you change takes effect on their phone system straight away, so treat it as their live system.
For how each page works, use Help in the portal's menu to open the Administrator Guide.
Deleting an extension also deletes its voicemail box and messages. If the extension has a portal login, delete that login first (see Deleting a login).
Getting back to your list
Choose Sign out from the menu at the top right of the portal. You return to portal.easyvoip.ca, still signed in, with your customer list ready, so you can pick the next customer.
If you were assigned a whole server, the portal shows Exit to console under the domain name instead. It does the same thing.
To finish completely, click Sign out at the top of portal.easyvoip.ca.
Private contacts
A customer's Contacts page holds two kinds of contact:
- Shared: everyone at the customer sees them.
- Private: they belong to one extension. Only that person and the customer's administrators see them.
When you add or edit a contact, choose under Visible to: Everyone, or One extension (private) and pick the extension. Private contacts show a Private · Ext 104 tag in the list. People with a User login can add their own private contacts. The Administrator Guide (Help in the portal menu) covers the steps.
On desk phones
By default every desk phone shows all of a customer's contacts, private ones included. To keep private contacts on their owner's phone only, email support@voice2net.ca with the customer's domain and ask for per-person phonebooks. Once that's on, Yealink phones show two phone books under Directory:
| Phone book | What it shows |
|---|---|
| Personal | That extension's private contacts |
| Global | The customer's shared contacts |
4Manage customer logins
A portal login is the email and password a person at your customer uses to sign in at portal.easyvoip.ca. You can manage the logins of every customer assigned to you from one page, without opening each customer's portal.
- On Where to?, click Manage customer logins at the top.
- Find the customer (see Finding a customer).
- Their logins are listed under Users on this domain, with a form to add a new one.
Click Domain search at the top to go back to your customer list.
Admin tenant_admin
Manages the whole customer: every extension, phone, number and routing setting. Usually the office manager or owner.
User tenant_user
Tied to one extension. Sees only their own voicemail, call history and call forwarding.
Finding a customer
There are two ways to find the customer, both on the same page:
- Find a customer by name or email: type part of a person's name or email address, then click the result. Use this when you know who needs help but not which customer they belong to.
- Or find the domain: type part of the business name or domain, then click it.
Only your assigned customers ever appear in either search.
Logins added here show up immediately. Logins added or changed inside a customer's portal can take up to 5 minutes to appear in the search.
Adding a login
- Under Users on this domain, enter the person's Email and Name.
- Choose the Role:
tenant_adminfor an administrator, ortenant_userfor one person's extension. - For
tenant_user, pick their Extension from the list. - Click Add user.
The person is emailed a temporary password and a link to sign in. They must choose their own password the first time they sign in. The temporary password is also shown to you once, in case the email doesn't arrive.
An email address can have only one portal login. If it already has one, you get a message saying so: use a different address, or reset the existing login's password instead. In the extension list, an extension that already has a login shows it in brackets, e.g. 104 — Reception (login: anne@example.com).
Resetting a password
Click Reset password on the person's row. A new temporary password is emailed to them, and they choose their own the next time they sign in. Their old password stops working straight away.
People can also reset their own password with Forgot password? on the sign-in page, so you don't need to do it for them.
Deleting a login
Click Delete on the person's row and confirm. They can no longer sign in. Their extension, voicemail and phone are not touched, and calls keep working.
One login per customer is yours: the administrator login that lets you open that customer. You can't delete it, and you shouldn't try to change it. It looks like any other admin on the list, with your email address.
When someone leaves, delete their login before deleting their extension. The portal won't delete an extension that still has a login tied to it, and it tells you which login to remove.
5What your account can and can't do
| You can | You can't |
|---|---|
| Open any customer assigned to you | See or open customers that aren't assigned to you, even on the same server |
| Add, reset and delete those customers' portal logins | Assign yourself more customers or servers (ask Voice2Net) |
| Change anything a customer administrator can change | Create other reseller accounts or Voice2Net staff accounts |
| Reset your own password | See Voice2Net's own pages (servers, staff accounts, other resellers) |
| Make a customer's contacts shared or private | Turn on per-person phonebooks for a customer's desk phones (ask Voice2Net) |
Voice2Net staff can see and help with every customer, including yours. To have a customer added or removed from your account, email support.
6Troubleshooting
| Problem | What to do |
|---|---|
| A customer is missing from my list | It hasn't been assigned to you. Email support with the business name. |
| "That domain is not assigned to you" | Same as above: your account doesn't cover that customer. |
| Connect fails for one customer | Sign out of portal.easyvoip.ca, sign in again and retry. If it still fails, email support with the customer's domain. |
| A new login didn't get the email | Ask them to check spam, or give them the temporary password shown to you when you added it. Or click Reset password to send a fresh one. |
| "Already in use" when adding a login | That email already has a login. Find it with Find a customer by name or email and reset its password instead, or use a different address. |
| A person isn't found by the search | If they were added inside the customer's portal in the last 5 minutes, wait and try again. Or search for the domain instead. |
| The extension list is empty when adding a User | The customer has no extensions yet. Create the extension in their portal first. |
Getting help
